A competent and coherent onboarding

With Fluid, you get both a technical provider and a dedicated advisor who combines commercial understanding with technical expertise. Our onboarding process is designed to give you full clarity, high quality, and maximum business value from day one.

Onboarding with us is a close collaboration. Fluid leads the project with clear structure, strong project management, and experienced specialists, while you contribute business insight, system access, and the necessary approvals. Together, we establish a robust, compliant, and future-proof consent and preference solution tailored to your organization.

The process is efficient, proven, and structured, and typically takes 2–3 months from kickoff to go-live. Throughout, our customers experience clarity, transparency, and rapid realization of business value because we ensure every decision is well-founded and every technical component is implemented correctly the first time.

A solution outline with clear recommendations and a solid decision-making foundation.

The solution outline is the first step in the collaboration and serves as a solid decision-making foundation for your project going forward. It gives you a clear overview of options, recommendations, and direction – so you can make decisions with complete confidence.

We develop the solution outline in close dialogue with you and tailor it to your specific business needs. The process typically consists of 1–2 working sessions or short workshops, where we jointly map out your background, ambitions, challenges, and key focus areas. Based on this, we compile our recommendations into a clear, structured presentation that can be used directly in your project or steering committee.

The solution outline typically includes:

Mapping of your background, challenges, ambitions, and key focus areas

A recommended solution design and architecture, along with a high-level implementation roadmap.

A budget for the Scope of Work (SoW), onboarding, and licenses/operations that provides clear visibility.

The solution outline is typically prepared at no cost, so you get a qualified decision-making basis before committing to a project engagement. The solution outline therefore forms the foundation for assessing whether the project should move forward to the final Scope of Work (SoW).

SoW – the complete design and implementation foundation.

The SoW is the detailed project and implementation plan that defines all deliverables and forms the foundation for the final solution. It builds on the solution outline and ensures full alignment between Fluid and the customer – so expectations, design choices, and priorities are crystal clear.

In the SoW, the entire solution design is defined: the technical architecture, budget framework, business priorities, and the concrete timeline for implementation. The result is a thoroughly developed, mutually binding foundation that gives you full clarity on scope, cost, and the practical implementation.

Scope of Work typically includes:

  • Detailed IT solution architecture
  • Data and consent model
  • Integrations, flows, and processes
  • Deletion policies
  • Timeline, roles, responsibilities, and scope boundaries
  • Budget and financial overview

Onboarding – from design to an operational-ready and efficient solution

Onboarding is the phase where your solution moves from design to a fully implemented, tested, and operational-ready platform. The process typically spans 2–3 months and is carried out as a structured, controlled approach that delivers quick value and full peace of mind all the way to go-live. It all happens in five simple steps:

Implementation of the solution

Onboarding begins with setting up RubiqCloud, basic configuration, and establishing the technical foundation. We ensure that all core components are implemented correctly and ready for further build-out.

Setup of the data and consent model

Next, we implement the data model, consent types, channels, and policies for data handling and retention. This ensures a robust, compliant, and future-proof structure that supports your business.

Integrations and workflows

We establish integrations and data flows between RubiqCloud and your other systems. We set up the preference center, consent banners, and other touchpoints, so the solution runs smoothly across channels.

Testing and approval

Before go-live, we carry out thorough testing of functionality, data flows, and integrations. User testing and User Acceptance Testing (UAT) ensure the solution is validated, stable, and ready for final sign-off.

Go-live and hypercare

At go-live, we ensure a controlled and coordinated launch with close monitoring and ongoing guidance. During this period, we follow up continuously to ensure a stable, smooth transition into operations—after which the solution is handed over to our dedicated Service & Support team.
